Built-in amenities

Features that are part of a Room resource, such as projector or whiteboard.

A Room resource may come with certain features that can be used as part of the booking. We call these features built-in amenities.

For example:

  • chairs

  • projector

  • TV

  • whiteboard

When a user makes a booking for the resource, these built-in amenities will be automatically included in the booking.

You're encouraged to create and assign built-in amenities as it'll help users to find a resource that meets their needs.

When searching for a resource, users will be able to filter resources by the built-in amenities that they have.

Viewing built-in amenities

To view the built-in amenity presets available for your agency:

1. On the side navigation bar, select Resources

2. Select Built-in amenities under the Resource presets section

From this table, you can look for and edit your agency's built-in amenity presets. The edits you make will apply to all resources with the built-in amenity assigned.

If the built-in amenity full-screen projector is assigned to 10 resources, renaming it to projector will change it for all 10 resources.

Common presets

Currently, there are 12 common presets for built-in amenities:

  • Projector

  • TV

  • Writing Board

  • Table (Additional)

  • Chairs (Additional)

  • Water Dispenser

  • LAN Point

  • Video Conferencing

  • Deskphone

  • DVD Player

  • Speakers

  • Microphone

These presets were created for your convenience, as they represent amenities that are common among many agencies.

If the common preset applies to your agency, you can assign them to resources. If it does not apply to your agency, you do not have to use them.

You cannot edit or delete common presets. This is because they are shared among all agencies.

Agency presets

If your agency offers a built-in amenity that is not on the list of common presets, you can create one.

When creating a built-in amenity preset, try to use a generic name. For example, TV instead of 65" TV.

Choosing a generic name means:

  • you can assign the same preset to multiple resources

  • it'll be easier for users to filter resources by amenities

The preset you create will only be used for your agency. However, you can only delete it if it is not assigned to any resource.

Assigning built-in amenities

Built-in amenities must be assigned to resources before users can filter resources based on the amenities they need.

If you create the built-in amenity Video Conferencing Equipment but it is not assigned to any resource, users will not be able to find resources with the amenity.

To assign a built-in amenity to an existing resource:

  1. On the side navigation bar, select Resources

  2. Select All resources

  3. Select a resource

  4. On the side panel, look for built-in amenities and select Edit

  5. Select the built-in amenity you wish to assign. You can select more than 1.

Once you save your edits, users will see the resource when they filter by the built-in amenity.

You cannot assign built-in amenities to all resources. For example, built-in amenities cannot be assigned to resources under the Office Equipment resource type.
